Another thing to watch out for is students who withdraw from the university. They disappear from your class list like they didn't exist, but they will randomly show up on the email list in Class Climate.

As far as I know, you are exactly right. Once a student has taken the survey, that data is there forever.   Removing the email addresses from the class list should mean that those students won't get the evaluation mailed to them.  The problem with removing emails, however, is that it can be very time consuming, especially for large lecture classes....

We have been able to verify that the Peoplesoft extract process that we used to load the ClassClimate data base contained a bug which caused us to load students into courses even though they had withdrawn from those courses.  The evaluations that you generate for Fall 13-14 will include withdrawals.  In order to eliminate those students from your evaluation pool you can manually remove evaluations that were generated for students who do not appear on your class list.

OIT apologizes that we were not able to eliminate those students from the data this semester, but we will modify the process before evaluations are generated next semester.  Thanks to those of you who helped us identify the bug by providing us with data to use for troubleshooting.  With your assistance we have been able to cleanse the data just a little bit more each semester!
