Subject: policies on travel and entertainment
This message is being sent to inform everyone that links have been added to
the College of Fine Arts web site to allow you and the faculty and staff to
easily access the Ohio University Travel and Entertainment Policy and the
newly instituted Purchasing Grid. The Purchasing Grid is the tool the
Finance Office is using to update the most recent changes and developments
of new policies and procedures related to purchases using University Funds.
These links may be found at
http://www.finearts.ohio.edu/faculty_staff/index.html. With the many changes
that are occurring, it is recommended that everyone take the time to
re-familiarize yourself with this policy. I feel the Grid is a useful tool
to keep current on the purchasing policies.
Also, I want to remind everyone of President McDavis' announcement that
Travel and Entertainment costs will be reduced to essential costs only.
Research (faculty and student) and Enrollment Management travel are
considered essential. Please consider the need for all other travel costs
and how they meet the requirements of your individual departments and
schools. The Director of your Schools will be authorizing these costs based
on this requirement.
The College of Fine Arts' policy states that the cost of Interviewing a
perspective hire or entertaining a Visiting Guest Artist will be limited to
the meals of the Guest and one faculty or staff. This person will usually
be the chair of the search committee or head of the department sponsoring
the Visiting Artist. If the chair or department head does not attend,
another faculty or staff's cost may be substituted. We encourage all
faculty and staff invited to attend these events, but please understand the
College will not be able to approve these costs.
We understand that there are situations and occasions that occur outside
those specified. Please keep in mind some departments have policies that
exceed those of the College or University. It is the responsibility of the
cardholder to be aware of the policies that govern purchases and in effect
assure that only authorized purchases are being made. You are encouraged
to contact your Departmental Administrator or DeAnna with questions about a
purchase or travel policy if you are unsure.
