Dear Megan,

Yes, I understood that.  But that was not my question.

Are you absolutely certain that all classes have doubled enrollment?

In other words, can we safely assume that if it says 100 students we can put 50 and not have to double-check?

Same thing I said to Wendy:

Some of the Registrar’s systems (e.g. course offerings) show a higher number because they include students who have withdrawn from the course, while Class Climate excludes students who withdrew.

Are we absolutely certain that ALL courses have double enrollment?  Because if the number of participants is incorrect it will throw off calculations, correct?

Hello everyone, below are instructions on changing the participant counts:

First, search for your courses. Then edit the course in question by clicking on the red pencil to the right (see below):

Here is where you change the participant count. In the box to the right of 'Enrollment' put the correct number of participants (in this case it should be 14 instead of 28), then select 'OK'.

Lisa, according to support there is no other option to fix the issue. Hopefully now that we know what caused the issue it won't happen in the future, but for now this is the best work around we have.

Laura:

I had already started mine (and did several this morning) and had the right number of e-mails so even though it said (for example) I had 20, I had 10 e-mails.  Will this mess the surveys up?  If so, I will e-mail the students that have already responded and delete all of them and resend.

Marlene,

You'll have to edit the number of Participants, but the emails should be fine. So for example if you have 7 students, 7 emails will be present but the participant count is 14. Change that count to 7 and you're all set!

Class Climate Users,

To manually fix participant counts:

1.) Delete surveys that have been generated

2.) Manually fix participant counts for each course you administer

3.) Re-generate surveys

If you have any questions regarding how to edit participant counts, don't hesitate to contact us for assistance.

Again, I apologize for the inconvenience this has caused.

Going forward in the future we need to hold off on generating surveys for full term courses until the data load has been completed. Vendor support has determined this was the root cause of emails not properly coming into the system. Full term courses are loaded 4 weeks before end of semester. I will notify this user list once full term courses are loaded and you can begin generating surveys at that time. This should prevent further issues with emails not importing correctly.

I know we have a while before our next big end of semester import, so I will send out a reminder email 2 weeks before our large full term course imports for Spring semester.

Class Climate Users,

Upon working with the vendor Friday evening, they believed they had found a work around for getting emails back into the system without doubling participant counts. When we tried it in our system, participant counts still doubled. I am working on doing our regular weekly file imports right now to get emails into the system, but it appears participant counts are doubling.

Once I am finished loading data, emails will be back in the system and you can proceed to set-up surveys. I'll work with the vendor when they get into the office to find a resolution for the doubled participant counts. It will most likely be a manual process.
